Club membership FAQs

Here are some of the questions we get asked the most about club membership and processing memberships on JustGo, our secure online membership system.

How can I view existing club member who are registered on JustGo?

You can view club members by going into the Club Profile tile JustGo and selecting Club Members at the top of the screen.  You can view all members, members with no membership or view by membership type by clicking the circles above the list and list members by role or renewal status using the green drop down menu below the circles and selecting Summary By Member Status.

Club secretaries can also download a report from JustGo which lists all the members linked to their club. In the main menu in JustGo, go to the Club Reports tile in the My Club Area, click on Members in the left hand list. The report is Club Members – click on Export CSV to download it.

What do I do if I can’t see and access the Club Members?

It is likely that you have not been assigned a role by your Club Membership Secretary/Secretary that allows you to view the Club Profile in JustGo. Approach them to request they add you. If they aren’t able to contact membership@mountaineering.scot for assistance.

Some of our members are in other clubs - how do I know which one pays their subscription to Mountaineering Scotland?

Many people are members of multiple clubs, however Mountaineering Scotland only require payment by one club on their behalf. This is called the Primary club in JustGo. In your JustGo club profile, any member that has a solid green star is an indicator that they are a Primary Member of your club and these are the ones whose subscriptions you pay to Mountaineering Scotland. If your club is not their primary club, it means another club will pay their subscription fee. If the star is a green outline  this indicates your club is not their Primary Club. The only way to establish which other clubs they are in is by asking the member or downloading a membership report (see How can I view existing members).

How do I change which is the primary club for a member?

You need to ask the Membership & Admin Officer at Mountaineering Scotland to do this email membership@mountaineering.scot or call 01738 493942.

How do I deal with members who have Individual/Concession/Student membership but are part of the club?

You are not responsible for paying for their membership however, it is best practice to confirm this with the member ahead of the new club year should they wish to change to Club Membership when their individual membership expires.

How do I know when an individual members membership is close to expiring?

The dot in the members profile is an indicator. Green indicators they have an Active membership. Amber indicates their membership will expire soon. Red indicates they have no membership currently. Members with an  individual membership category will receive an email notification 30 days before their membership expires.

Can I renew all club members in one transaction?

Yes, you can do a Bulk Renewal of Club Members which allows you to process multiple memberships at the same time. Go to My Club down the left hand side and select the Bulk Renewal tile. Please see the Club Membership Guide for full details or YouTube video : How to Bulk Renew Club Members

Are club members still covered by insurance if their membership hasn't yet been renewed?

Yes, existing Club Members are still covered by insurance after the end of the club year on 31 March provided they pay their membership by the 31 December at the latest, and they are still linked to a club in JustGo.

What information do I need to get from new members?

If they do not have an existing Member Profile in JustGo, you’ll need their full name, address including postcode, email address, date of birth and sex. If they are under 18 you will also require the Parent/Carer’s Name and Parent/Carer’s Email Address. You might want to ask members to create their own profile in JustGo and then we can link them to your club to save you having to collect and input the data yourself.

Please check with new members whether they have an existing account on JustGo (even if they’ve never had membership) as duplicate accounts should be avoided. If the new Member can’t remember their membership number or login details they can email membership@mountaineering.scot for assistance.

When should I register new members?

New members should be registered with Mountaineering Scotland as soon as possible but no later than 1 month of joining your club.

How much will new members pay if they join part-way through the year?

If someone is a completely new member or hasn’t had a Mountaineering Scotland membership or club membership in the last year, their fee will be the pro rata rate as outlined on our website here.

Expired and Non-Renewing Members

Anyone whose membership has expired or are not remaining in the club must be remove from your club in accordance with UK GDPR and Data Protection legislation to protect their privacy and prevent unauthorised retention of personal information. More information about GDPR can be found on our website here

How do I remove a member from the club?

When will club members get their digital membership card?

Digital membership cards for club members expire on 31 March. Club Members will get their digital membership card on renewal of their membership with Mountaineering Scotland in JustGo. It is not possible for the digital card to remain active after 31 March as it is linked to the Club Adult/Youth membership status.
